Social Prefects: Insights into Organising and Planning an Ice-Breaking Event

Lights, music and games: These are just some of the things that helped create the KS5 Ice-Breaking Event that took place on the 17th of September. But what else goes into the organisation and planning of such an event? Communications, layout designs, refreshments…and so much more. Let’s dive in.
One of the most important parts of organising any event is the communications. In this context, the Social Prefects liaise with all the moving parts of our school, from trying to fix a date for the event, to ensuring supervision for the social and finally sending out the invites to the entirety of the Sixth Form. Communication makes up the foundation of most socials and events and is one of the biggest things that can make or break a social.
It’s a similar story with decorations and layouts. With our growing school community, trying to ensure everyone has the perfect amount of space to be comfortable while allowing everyone the chance to have fun, is a delicate balance. And that’s where design comes in. The Ice-Breaking Social needed us to fully utilise the space available in the Grayling Centre while still being the great environment we needed to get people involved. And we managed to do just that. Using some lights, balloons and clear space for the individual groups, we were able to get the most out of the evening and create a great atmosphere for the night.
Refreshments, while seemingly less important, are still a major part of most Social Prefect events. Providing students with snacks and drinks is not only a good way to raise money for good causes but also making sure the people attending enjoy their night to the fullest. Sometimes, this is as simple as selling some cold drinks and snacks.
The job of a Social Prefect is always busy but it is incredibly rewarding. Planning and organising events like the Icebreaking social involves a lot of creativity, communication, and clear organisation.And we intend to continue contributing all these elements to foster the vibrant community we live in.
